Privacy Policy

At DOTS Therapy Hub, we take your privacy seriously. We collect and store personal information to help us deliver safe, effective and personalised therapy services. This includes information about your child’s health, development, family background, and where they live, learn, or receive support.

We only collect information that’s relevant to the care we provide, and we treat all personal details with strict confidentiality.

  • We collect information:

    • When you contact us (by phone, email, or online)

    • During initial intake and assessments

    • Throughout therapy sessions and service delivery

    We may collect information verbally, in writing, or via secure electronic systems.

    We only collect what’s necessary to support your child’s care.

  • We use this information to:

    • Plan and deliver therapy services

    • Coordinate with other professionals involved in your child’s care (with your consent)

    • Keep accurate records in line with health and legal requirements

    If another therapist within DOTS is involved in your child’s care, their information may be shared internally to ensure continuity of support. We never share information with anyone outside our team unless you give permission, or unless required by law (e.g. in a legal subpoena). We do not send or store your personal information overseas.

  • You can request access to your child’s records by contacting our Practice Principal. In most cases, we will provide access within 30 days. You can choose how you’d like to access the information - for example, through a copy, summary, or a face-to-face review.

    For children under 18, there may be limits to what can be shared with parents or guardians, especially if doing so may cause harm or impact the child’s wellbeing. This is based on relevant privacy laws.

  • Client records are stored securely - either in physical files or encrypted digital systems. Files may be transported to sessions in schools, homes or other locations when needed, and are kept with the therapist at all times.

    We retain records in accordance with the Health Records and Information Privacy Act 2002:

    • For adults: records are kept for 7 years from the last service

    • For children: records are kept until the child turns 25

  • f you have any concerns about how your information is being managed, please contact our Practice Principal (Hibba Nagrial) directly. You can make a complaint verbally or in writing, and we will respond in writing.
